The organiser's guide

Everything your committee needs. Self-service.

Your club, your comps, your members, your rules. This guide plus the FAQ below should answer anything that comes up — bookmark it and share it with your committee.

1 · Set up your club

  1. Sign in at fishare.app (free), then go to fishare.app/clubs and hit Create club.
  2. Pick a name, a location label, and how anglers join — open (anyone), request (you approve), or invite (code only). You can change joining later; the club's web address never changes.
  3. You get a public club page at fishare.app/clubs/your-club, a starter season ladder, and a welcome email with your setup checklist.
Private clubs: choose private visibility and the public page shows only the club name and a sign-in prompt — comps, members and results stay members-only.

2 · Members & joining

  • Invite link & code — your club page has a share button; invite-policy clubs also get a code (shown in your admin panel).
  • Aliases — every member picks a display alias when joining. Real names never appear unless the member chooses to use one; that's how junior members stay private on public leaderboards.
  • Approve or decline requests — request-policy clubs list pending anglers in your admin panel. Declining lets them ask again later; removing a member is permanent — they can never rejoin.
  • Co-admins — the club owner can promote members to admin from the Members panel. Admins can moderate comps, manage members and edit club details; only the owner can rename the club or change joining.

3 · Run a competition

  1. From your club page admin panel, hit + New club comp. Club comps are members-only by default (untick to open them up) and appear on your club page.
  2. Pick a format: longest single fish · total length of your best N fish · species slam (most species) · or game-fishing tag & release (points).
  3. Set the window (up to ~3 months), eligible species (leave empty for any), an optional prize line, and the code word — anglers write it on a slip in their photo so old photos can't be entered.
  4. The comp goes live immediately with its own page, join link and live leaderboard. Private comps get a join code instead of a public listing.
While it runs: you can pause (with a message to anglers), extend the end time, and when it's done, close it. Results lock 24 hours after closing — that's the dispute window. You can download the full results as a CSV (leaderboard plus every entry) from the organiser panel at any time.

Get the details right before creating — name, species and start time can't be edited on a live comp yet. If you mis-create one, close it and create a fresh one.

4 · Judging entries

Anglers log catches in the Fishare app as normal; if a catch fits a comp they've joined, they're offered one-tap entry. Every entry lands in your moderation queue on the comp page:

  • View the photo — fish on the mat with the code word visible. Fishare also flags entries automatically: no photo, caught-vs-logged time gaps, or caught near a marine reserve.
  • Approve, deduct, or reject — deductions and rejections require a written reason, which the angler sees. Every decision is recorded in the audit log.
  • Legal sizes are enforced for you — undersize fish (NSW rules) are refused at submission, and protected species can't be entered at all.

5 · The season ladder

Your club has a season ladder that fills itself: when a club comp's results go final, placing points land automatically — 10 for 1st, 7 for 2nd, 5 for 3rd, 1 for entering, by default. Comps you create are attached to the current season automatically when their dates fall inside it.

6 · Game-fishing comps

The tag & release format scores NSWGFA-style points by species group and line class — no fish comes over the side:

  • Anglers enter the line class, the DPI tag number, their angler category (adult / junior etc.) and their boat with each entry.
  • Lengths are optional — a released marlin scores its points without a measurement; the tape-in-water photo is the evidence.
  • Champion Boat standings run automatically once at least two anglers have entered fish from the same boat on the same day.

7 · Your website & branding

  • Embed your ladder — the admin panel has a copy-paste iframe snippet that puts your live season ladder (or any comp leaderboard) on your club's own website.
  • Club badge — add a logo URL in Club settings; it shows on your club page.
  • Sponsors — up to eight sponsor logos with links, shown on your club page and every comp page.
FAQ

The questions every club asks.

What does Fishare cost our club?
Nothing — clubs and community comps are free, forever: unlimited members, comps and admins, every feature included. If you run a paid-entry tournament as a commercial business, that's licensed separately — email info@fishare.app.
Do our members have to pay?
No. Members sign up to Fishare free and everything a club comp needs — logging catches, entering comps, leaderboards — is free.
How do anglers enter a catch into our comp?
They log the catch in the Fishare app exactly as they normally would. If it fits a comp they've joined (right species, inside the window), the app offers one-tap entry after saving. The organiser reviews every entry before it scores.
What makes a valid entry photo?
The fish on a measuring mat with the comp's code word visible in frame (written on a slip works). The code word changes per comp, so photos from last month can't be recycled. For tag & release comps it's the tape-in-water shot instead.
What if someone submits a dodgy entry?
It never scores without you: every entry sits in your moderation queue until you approve it, with the photo and automatic flags (no photo, time gaps, marine-reserve proximity). You can deduct length or reject with a reason the angler sees, and everything is audit-logged.
An angler disagrees with a result — what happens?
Results stay provisional for 24 hours after you close the comp — that's the dispute window. Rejections and deductions always carry your written reason, and the audit log shows every decision if the committee needs to review one.
Can anglers enter catches when they have no phone signal?
Catches log offline and sync when they're back in range. The comp-entry step itself needs a connection — so tell anglers to enter comp fish once they're back in signal. A retro-entry option for offline catches is on the roadmap.
Can we edit a comp after creating it?
You can pause, extend the end time, and close it. Name, species and dates can't be edited on a live comp yet — so double-check the form before hitting create. Mis-created comps: close them and create a fresh one.
How do season points work?
When a club comp's results go final, placing points land on the season ladder automatically — default 10 / 7 / 5 for the podium and 1 for entering. Club comps attach themselves to the current season when their dates fall inside it.
Can juniors compete without their names being public?
Yes — every member joins with a display alias, and that alias is what appears on leaderboards and the ladder. Real names are never required on public pages.
How do we get results onto our own club website?
Copy the embed snippet from your admin panel — a small iframe that shows your live season ladder or a comp leaderboard. You can also download any comp's full results as CSV for newsletters and records.
Who can moderate — just one person?
No. The club owner can promote any member to admin, and every admin can moderate club comps, approve members, and edit club details. Unlimited admins.
How does tag & release scoring work for game fishing?
NSWGFA-style points by species group and line class — lighter line, more points. Anglers record the DPI tag number with each entry; lengths are optional because the fish never leaves the water. Champion Boat standings tally automatically.
What fishing rules does Fishare enforce?
Entries are checked against NSW recreational rules at submission: undersize fish are refused and protected species can't be entered. The angler, as always, is responsible for fishing legally — the check is a safety net, not legal advice.
Can we run a members-only comp?
Yes — club comps are members-only by default. You can also make any comp private (join by code) or fully public.
Will anyone tell us when something needs doing?
Yes, by email. Organisers get a daily digest while entries are waiting in the moderation queue, and a one-off reminder if a comp passes its end time without being closed. Anglers hear every moderation decision with your written reason, and every participant gets the final results — winners included — once the dispute window closes.
